Supplier Code of Conduct

Introduction

easyHotel is a responsible business and we take great pride in our culture of integrity and the way we conduct business, remaining committed to the environment and communities in which we operate. Our Supplier Code of Conduct (“Code of Conduct”) sets out how suppliers should behave in the marketplace and handle various legal and ethical matters.

We appreciate that our suppliers play a vital role in upholding easyHotel’s distinguished reputation and expect our suppliers to adhere to the Code of Conduct and ensure that its officers, employees and contractors also comply with similar standards. Failure to adhere to this Code of Conduct may threaten the business relationship, but we are confident that together we will continue to meet the high standards expected of a leading member of the hotel business community.

1. Law and Regulation

easyHotel expects all suppliers to comply with all laws and regulations applicable to it and its operations, including laws and regulations relating to business conduct, health and safety, and environmental regulations.

2. Business Integrity, Bribery, Fraud and Corruption

easyHotel expects all suppliers to act honestly and engage in market activities without bribery, coercion or corruption. All suppliers must comply with all aspects of the Bribery Act 2010 (or other relevant national law). Suppliers are prohibited from giving or receiving gifts or financial remuneration with the intention of obtaining or retaining business or a business advantage.

At easyHotel we are committed to preventing acts of fraud from occurring within our business through ‘associated persons’ (in accordance with the Economic Crime and Corporate Transparency Act 2023 (ECCTA)), and we impose the same high standards on these associated persons, including our suppliers, brokers, property agents, sales agents, procurement agents and any other third parties acting on easyHotel’s behalf.

In addition to the above, easyHotel expects all suppliers to comply with all applicable laws, statutes and regulations relating to the prevention of bribery, corruption and fraud, including but not limited to the Bribery Act 2010, Criminal Finances Act 2017, Economic Crime and Corporate Transparency Act 2023, Fraud Act 2006 and Theft Act 1968. To that end, suppliers are prohibited from accepting, offering, paying, permitting or authorising any bribes, facilitation payments or kickbacks, which may include money, goods, services, entertainment, employment, contracts or other things of value, in order to obtain or retain any direct or indirect improper advantage or benefit. Suppliers are also prohibited from engaging in any activity, practice or conduct that would constitute fraud or a fraud offence under any of the above legislation.

3. Safe Workplace and Working Conditions

Suppliers will provide a clean, safe and harassment-free workplace that implements appropriate health and safety policies and meets applicable legal standards or recognised industry workplace standards.

4. Modern Slavery, Forced Labour and Human Trafficking

Suppliers will strictly prohibit any and all forms of slavery, child labour, forced labour or human trafficking within their operations and supply chains. easyHotel expects all suppliers to comply with the Modern Slavery Act 2015 (or other relevant national law) and to carry out ongoing risk assessments of modern slavery risks across their workforce and supply chains.

5. Environmental Impact

Suppliers shall reduce the environmental impact of their business activities, goods and services, and take appropriate actions to reduce their carbon footprint.

6. Equality and Diversity

easyHotel expects all suppliers to ensure fair treatment, equality and diversity in the workplace in relation to recruitment, remuneration, promotion and progression.

7. Sanctions

Suppliers shall take all necessary steps to ensure that they do not conduct business with any business or individual that is subject to sanctions imposed by the United States, United Kingdom, European Union or United Nations.

8. Equal Opportunities

easyHotel expects all suppliers to provide equal opportunities in hiring and all other aspects of employment. Suppliers must comply with the Equality Act 2010 (or other relevant national law) and are strictly prohibited from direct or indirect discrimination on the basis of age, disability, race, sex, sexual orientation, religion or belief, gender reassignment, pregnancy or maternity, and marriage or civil partnership.

easyHotel will require suppliers to confirm adherence with this Code of Conduct.
